Overview

Extracting numbers to create reports for management isn’t always the simplest task. 

• How do you know what data to capture? 
• How do you convert data into information?
• How will this data affect your institution’s business model? 
• How do you effectively communicate this information to key stakeholders? 

This course presents the knowledge, tools, and practical applications needed to address these key questions. Learn how a fuller understanding of your organization’s environment improves responses to inquiries. Understand how to correlate the financial statements with the institution’s strategic and operational plans. Explore subjects such as revenue analysis and modeling, costing theories and techniques, budgeting, capital planning, and performance measurement. 

Interact with faculty and colleagues through concurrent break-out discussions and use case studies to fully grasp how data can become worthwhile information. This program is designed to offer the right tools to make the best decisions.

This session offers the underlying concepts and principles behind operating and capital budgets, allocation evaluations, and decision-making in- and out-side annual budget cycles.  Included is a discussion of various budget methodologies – incremental, formula-driven, zero-based, responsibility-based, and activity derived – and their respective strengths and shortcomings.

With increasing demands on budgets, higher performance expectations, and tighter expense levels, it is important for managers to understand their institution’s culture and environment. Such knowledge will help business officers effectively develop, recommend, and implement plans, policies and practices that allow resource allocations to meet strategic objectives. This subject will be explored through comparing centralized and decentralized operating environments and discussing the advantages and disadvantages of each environment in different situations.

Accurately projecting revenue streams at an institutional or programmatic level is critical. This session explores models that project and measure revenue from students, research, gifts, state allocations and alternative sources.  Examples that project the impact of enrollment management decisions, including tuition rate and discount policy are included.  Key drivers that influence the ultimate revenue result – and the measure of actual performance against such drivers are also examined.

1:30 pm Navigating Campus through Budget Methodology Changes

This session will examine some of the challenges associated with implementing a new institutional budget methodology.  Key issues will be addressed using changes at the Colorado School of Mines as a case study.  We will share examples – those that worked and those that didn’t - and lessons learned along the way.

This session will examine methods of charging internal units, including auxiliary units, academic

                                     schools or departments, and hospitals, for general and administrative overhead costs. 
                                     Because fund raising continues to yield more restricted gifts (compared with unrestricted),

                                     particular attention will be given to strategies for funding centralized development activities.

Internal and external measurement of operational effectiveness within colleges and universities is the focus of this session.  Attention will be given to recent performance goals set out for Virginia public higher education in the Restructured Higher Education Financial and Administrative Operations Act; the development of performance benchmarking by the University of Virginia Board of Visitors; and national trends.

This session illustrates the importance of data accessibility and consistency in managerial analysis and decision support. A selection of tools ranging from a comprehensive institution-wide data warehouse to other related but less costly data and visual analysis tools will be reviewed.  The capabilities of such tools to support executive decisions will be demonstrated.  Steps for successful implementation and potential pitfalls are also described.

The physical campus remains the centerpoint of most institutions of higher education.  This session will describe steps to develop a comprehensive capital plan.  We will address how to coordinate facility planning with overall strategic goals, understand physical needs, set realistic capital budgets, consider financing alternatives, and plan for the operating and maintenance costs associated with new facilities.

In response to aging facilities and increasing competition, campus leaders look for new ways to get a handle on deferred maintenance
within finite operating and capital budgets. Hear how two institutions are addressing their deferred maintenance concerns.  Topics covered include assessing the condition of facilities, developing a comprehensive plan to address critical needs, and establishing an adequate annual maintenance funding budget to prevent backlogs from re-accumulating.

10:45 am Integrated Postsecondary Data System (IPEDS) - A Data Source For Analysis and Benchmarking

IPEDS is the core postsecondary education data collection program for the U.S. Department of Education. The data collected from higher education institutions consists of enrollments, degrees, retention and graduation rates, faculty, staff, finances, institutional price, and student financial aid. Your institution has been submitting data to IPEDS for years. The focus of this session is to demonstrate the utility of these national datasets (to the business office) by showing how to pull data out of IPEDS to benchmark your institution with your peers.
